From application to the first working day.

Recruiting, selection, data, documents, access and training — in one process.

Onboarding doesn't start on the first working day. That's where it ends.

The same system, in the cloud or on your own servers — still small today, multiple sites tomorrow

How deep shall we go?

Same system. Three depths.

surface. If you only have a few minutes mid-depth. The essentials, with practical examples deep dive. If you want to see what's behind it
Recruiting + Onboarding

Two control centers, one handover.

After selection we continue with onboarding — the same person, the same data, and where they stand is always visible.

What does recruiting actually do?

Nine points that work today — each one takes you to the matching part of the Recruitment Control Center page.

01Position and selection steps One form: role from the master data, unit, requesting manager, headcount, start, deadline, requirements. The steps come from a template (manual 3, office 5, management 6) and can be renamed; manager approval is a switch. Details → 02Job ad and sources One click turns the position into an ad with its own application page, link and QR code; "Copy as LinkedIn post". Internal referral, agency, internal posting with their own links — the source and the referrer's name are recorded. Details → 03Salary range in the ad The position’s salary range appears in the job ad and on the careers page; you can require it before publishing. The form asks for salary expectations, never previous pay. Details → 04Applicants: columns and list Cards by step, with headcount and pass-through rate; a list view exportable to Excel. Bulk rejection with a reason, an internal note and a template letter. One candidate for several positions, with duplicate detection. Details → 05Manager review Managers see only their own positions, with salary expectation, without HR notes. A scorecard with six criteria (1–5), a comment, three buttons; on the phone too. A reminder after two days. Details → 06The candidate's page Via a link, no login: application status, a message to HR, adding a document, requesting a talent-pool extension or data deletion. Details → 07Data handling Acceptance of the privacy notice is recorded with text and time. Closed applications are anonymised after one year (a letter 14 days before). The "not to be employed" flag only after an interview, with a reason, for one year. Every export and status change is logged. Details → 08Hired → Onboarding Start onboarding: planned start, unit, role, owner — the case opens in the OCC with the data and the CV. The offer is sent by the OCC; a former employee is recognised by email. Details → 09Recruiting report Funnel, source effectiveness, rejection reasons, time to fill (the offer acceptance date comes from onboarding), manager response time — filtered by period and position, to Excel. Details → 10Leaving → Start replacement From the offboarding record, one click creates a draft position with the leaver's role and unit; the position shows whose replacement it is. The circle starts again from here. Details →

Frequently asked questions

What people ask most often about onboarding.

How long does it take to put an onboarding process together?
A simple process can be a handful of steps; a more complex onboarding may involve documents, approvals, training and equipment tasks. It is built from startForm elements, so the process can follow how your company actually works.
What does the new hire do before their first day?
They provide the required data, complete the steps assigned to them, and accept or sign the necessary documents. No company account is needed for that.
Is a signed paper required?
Documents can be accepted online, and where a formal signature is required there is a path for that too — within the same process.
What if two new hires don't follow the same process?
That is the normal case. The process is built from elements, so it can differ by role, by site or even case by case — there is no single rigid checklist for everyone.
How does HR know where everyone stands?
On one screen: one row per person, one dot per station. You can see where a process has stalled and what the next step is.
Does it handle offboarding too?
Yes. Leaving runs on the same process engine as joining — with different content: exit declarations, revoked access, an exit questionnaire. Where someone stands is visible the same way.
Is recruiting included?
Yes. The Recruitment Control Center (RCC) takes applicants from the job ad to the decision: an application page of its own, candidates in columns by selection step, manager reviews from the phone. The hired candidate moves to onboarding with one button — their data and CV are never typed again.
Do we need a job board for it?
No. Every position gets its own application page and QR code; the ad can be copied into a LinkedIn post with one click, and the application still lands here. Internal referrals and agencies get their own links, so the source of every candidate is visible.
What happens to applicants' data?
On applying, the candidate accepts the privacy notice. Closed applications are anonymised automatically after one year — before that the candidate can ask to stay in the talent pool — and they can request deletion of their data on their own page at any time. Every status change and export is logged.
